Managing Your Email Attachments
Conversion from Lotus Notes to Microsoft Outlook

Please note that as we convert users from Lotus Notes to Microsoft Outlook, we cannot bring over emails that have file attachments that are over 25 MB in size. To ensure you do not lose any important large files, please read the information below.

Identifying Attachment Size

  • First, sort your email attachments by file size by selecting “All Documents” in the left hand pane of your email (underneath Inbox).
  • Click on the “Size” column heading on the right so your messages appear in size order. Use the right-hand scroll bar to navigate to the top of your “All Documents” message list to view the messages with the largest attachments.

Note: If your file size is hidden, simply drag to resize your preview panes. 

  • If you have a message that is over 25MB, you will need to save the attachment (if needed).

Note: M is equal to MB and emails with M/MB are those you need to review. Anything with a “K” will migrate without an issue.

Saving/Deleting Attachments

Follow the steps below to save/delete large attachments before you are scheduled for your email/calendar conversion.

TO SAVE ATTACHMENTS

  1. Double-click on the message to open it.
  2. Click on the attachment in the “Attachments” pane at the bottom of the message. Select the “disc icon” button to save this file to your desired location. You can drag your mouse or hold down the Ctrl key while clicking on the attachments if you need to save multiple files from the same message.

TO DELETE AN ATTACHMENT IN A RECEIVED MESSAGE

  1. Double-click on the message to open it. Click on the "Edit this document" button (small paper/pencil icon next to the Trash Can icon in the message toolbar).
  2. Click on the attachment in the “Attachments” pane at the bottom of the message, then click on the Trash Can icon (in the “Attachments” pane) to remove the file.  You can drag your mouse or hold down the Ctrl key while clicking on the attachments if you need to remove multiple files from the same message.
  3. Click "Save & Close" to save the message with the attachments removed.  Please note that the message will disappear from its position in the “All Documents” message sort view based on its new size.
